Agents and scheduled tasks
Set up agent profiles, permissions, memory, spending, and recurring work.
Agents work with your workspace’s current data and permissions. Customize their responsibilities, give them a clear task, and use the task history and results to check what happened.
Meet the workspace agents
Matte is the main workspace agent. Installed apps can add specialist agents for their work. For example, Inventory Tracking adds Wells, the Inventory Manager.
An agent’s profile shows its identity, available activity, recent chats, and task controls. Installed apps and workspace configuration determine which agents you can open. A role description explains the agent’s purpose; it is not a promise that every possible action in that business area is automated.
Customize an agent
Instructions help guide the agent’s behavior. They do not override permissions, approval requirements, or live records. Use actual role and object settings when you need to change what the agent can access.
Permissions includes a permission role and custom access controls for authorized managers. Every requested action is checked against both the person requesting the work and the agent’s current authority. The agent cannot grant itself access.
- Open the agent’s profile and choose Customize when you have access.
- In General, set the name, job title, department, image, color, bio, and greeting.
- Choose the available personality settings, including base style, tone, answer detail, and emoji use.
- Add Instructions for preferred terminology, reporting format, or recurring context, then save your changes.
Check what can run
Advanced shows Conversational execution readiness and the reason if the workspace is not enabled. Server configuration controls access and execution stages, so the presence of an agent profile does not guarantee that every conversational action is available.
Supported stages distinguish reading workspace data, making drafts and ordinary edits, performing stock or order transitions with review, and sending an exact approved order email. Use the availability message for the specific task.
Assign Work uses the workflows advertised for the agent. The currently implemented deterministic inventory workflow reviews low-stock inventory and creates a shared live view. Its confirmation makes the view creation part of the authorized task.
Maintain reusable memory
In Memory, search saved entries, add a memory, edit or delete an entry when permitted, and inspect its version history. The automatic-save setting controls saving clear recurring preferences in that scope.
Changing a memory’s visibility changes who can use it. Moving a private memory into a shared scope requires explicit confirmation in the settings flow. Shared memory editing requires the relevant management access. Current instructions and live records take precedence over remembered preferences.
- My Memory. Private to you across agents in the workspace. It is intended for your personal recurring preferences.
- Agent Memory. Shared with everyone in the workspace and used for the selected agent.
- Shared Memory. Shared with everyone and used by all agents in the workspace.
Create a scheduled agenda
- Open the agent’s profile and choose Schedule task.
- In Brief, describe the outcome. Continue to Agenda and review the task list.
- Add, remove, or reorder task items. Each item can be a prompt or an available workflow, with its own title, instructions, start offset, and duration.
- In Schedule, choose the start, time zone, all-day setting, and recurrence: once, weekdays, weekly, every two weeks, or monthly.
- Review the agenda and available cost information. Choose Save draft to keep it inactive, or Activate schedule when it is ready to run.
Check whether the schedule is live
The scheduling interface distinguishes simulation from live execution. Simulated schedules do not call the AI provider, spend credits, run workflows, or change workspace records. They let you inspect the schedule and its intended work.
Live schedules need current permissions, agent access, and available budget when they execute. Actions that require approval still require it; activating a schedule is not a blanket bypass of future review. Prompt results are available through the agent’s conversations.
Use Calendar to inspect the scheduled occurrences. For an eligible repeating task, moving it offers This occurrence or This and following. Editing, pausing, resuming, skipping, or canceling is available according to the agenda’s state and your authority.
Review results and control spending
Task details show progress, status, available results, and errors. Open the resulting view or conversation when provided. A task being accepted or queued is not the same as completing successfully.
Stop remaining work prevents further eligible work in a run; it does not erase changes already completed. Retry is available only when the task can be retried. Read partial or failed results before trying again.
Salary controls the agent’s allocated credits, while workspace Credits provides shared balance, payroll, and limits. Check the estimated scheduled demand as well as the credits left for ad hoc chats.
