Records and detail pages
Create and edit records, organize their detail panels, work in bulk, and recover deleted data.
Open a record to work with its full details, linked records, and history. The detail panel can be arranged around the information your team needs, while the underlying fields remain available to views and other workflows.
Create and edit a record
The record label and image help identify the entry. Other fields appear on the configured detail pages. When a field is computed or protected by the app, it is read-only; use its relevant workflow instead of trying to enter a replacement value.
For a quick change, use the table cell’s edit control when it is available. Simple fields edit in place; structured fields use a popup. Press Enter to commit an ordinary inline edit or Escape to cancel. Ordinary inline edits are canceled when focus leaves, while designated quick-entry fields can save when you click away.
Edits in the detail panel are held until you save. Closing a panel with unsaved changes asks whether to discard them. If you move between detail pages, a page marker can point out required information that still needs attention.
- Open the list and choose its new-record action. The form uses the fields and detail pages configured for that object.
- Fill in the required fields and any relationships you already know. Use the appropriate picker for dates, people, choices, and linked records.
- Save the new record. Open it from a table, board, tile, calendar, or search result to see the same saved information.
- Make changes in the detail panel and use its save control. If a required field is empty, correct it before saving.
Work with related information
Relationship fields connect the record to entries in other lists. Open the linked entry when you need the original record’s details. The relationship picker can show extra identifying information configured by the object administrator.
Specialized objects can add their own record pages and editors. An inventory item, for example, has stock and unit information that follows inventory rules. Those system pages may have a fixed purpose even when the rest of the record layout is customizable.
A visible linked value does not grant additional access. The target object’s permissions and any field restrictions still determine what you can open and read.
Keep the conversation with the record
Activity brings record changes and comments into one timeline. It can show who changed a field, moved a record, created it, or performed a supported operational action. Filter the timeline to focus on comments, changes, system activity, or custom filters configured for that object.
Choose the comment action and write your note. Type @ to mention an available teammate. A mention gives the person a way to find the conversation through notifications when their settings allow it.
You can edit or delete a comment when the action is available to you. Deleting a comment removes its contents and leaves the deletion state in the timeline. Comments are useful for explaining a decision; update the actual fields when the record’s state has changed.
Change several records together
Select records in the list to use the available bulk actions. Bulk update lets you apply field changes to the selected records. The fields and operations offered depend on the object and your access.
Check the selection before applying a change, especially after filtering or switching views. A bulk edit changes each selected record; changing a view’s filter or formatting does not.
Other selection actions can include CSV export, moving records into folders, or deletion. Inventory movements and specialized order transitions use their own workflows so the relevant stock and history stay consistent.
Customize the detail panel
The layout is shared by records in the object. Changing it does not create a separate field value for each layout. System pages such as Activity and reserved inventory pages have constraints: some can be reordered but cannot be renamed or removed.
Hide an empty display to reduce clutter only when people will still know where to enter a value. Field access restrictions should be configured through permissions, rather than relying on a field being absent from a particular page.
- Open the object’s settings and select Detail panel. You need permission to change the object’s configuration.
- Arrange supported detail pages and sections. Give custom pages clear names and icons, and put related fields together.
- Choose the supported section presentation, such as rows, compact rows, two columns, a metric grid, or a featured stack. Adjust available visibility and empty-value settings.
- Use the preview to check the layout, then save. Reopen a real record to confirm that the important fields are easy to find.
Recover deleted records and configuration
Supported records, objects, fields, folders, and saved object views move to Trash when deleted. Trash shows what was removed, its source, and deletion information, and offers restoration when the item can be restored.
The normal Trash retention window is 30 days. Restore something before its purge date if you need it again. Permanent deletion requires the appropriate permission and cannot be undone through Trash.
Read the confirmation for the specific object or page before removing it. Some protected objects cannot be deleted, some app objects are deactivated instead, and some specialized page views use permanent deletion. Deleting a field or object can also affect relationships and views that depend on it.
