Views, filters, and search
Turn the same records into useful tables, boards, calendars, and tiles, then find what you need.
A view is a saved way to look at records. Use filters to choose what appears, sorting or manual order to arrange it, and the layout that makes the work easiest to understand.
Choose a layout
Changing the layout does not make a copy of the records. An edit made through a board or record panel is visible anywhere that same record appears. Some specialized pages offer a narrower set of layouts than ordinary objects.
- Table. Display records in rows and columns. Choose visible fields, arrange columns, and compare many values at once.
- Board. Stack cards into columns using a supported select, checkbox, person, or link field. Choose the fields displayed on each card. Moving a card to another column changes its grouping value when you have edit access.
- Calendar. Place records using their date fields. Day, Week, Month, Year, and Schedule are presentations of the same calendar view and share its date settings and filters.
- Icons. Show records as tiles with a picture and a name, plus the available card details. This is useful when the image is the fastest way to recognize a record.
Choose and arrange the results
Filters narrow the results using the field and operator you choose. Combine rules with match all or match any, and use filter groups when one group of conditions needs different logic from the rest. Available operators depend on the field type.
Sort rules arrange matching records without changing them. Add multiple sorts when one field is not enough, such as status followed by due date. Grouping gathers matching records into collapsible sections. Groups do not merge records or combine their individual identity.
Column controls determine which fields are visible. The add-column menu first offers fields that already exist but are hidden from the table. Use that option when you want to show existing data rather than creating a duplicate field.
Resize columns, move them left or right, and pin important fields where supported. The Calculate footer offers counts, unique or empty values, and filled or empty percentages. Suitable numeric columns also offer Sum, Average, Min, and Max; repeated inventory rollups intentionally restrict additive calculations.
Save a useful view
Saved views belong to the object and can affect the shared workspace. They do not give someone access to records or fields that their permissions otherwise hide.
Use View rules to maintain a view’s configuration, including supported manual ordering and conditional formatting. Formatting can highlight matching records or fields with fill colors, text colors, and font weight. The highlight is a visual cue; it does not change the stored value.
- Open the object and apply the filters, sorting, and column choices you need.
- Use the view controls to create a view from the current setup. You can also start a blank view, or create a view from selected records where offered.
- Give the view a name that explains its purpose, such as Needs review or This week. Choose its icon and layout.
- Open the saved view again and verify that its rules find the records you expect.
Reorder, merge, or remove views
Open the view menu and choose Manage views to arrange views, open their rules, or delete a saved view. The default All view remains available.
Merge views combines two or more view definitions. Choose Any view to include rows that match at least one selected view, or All views for rows that match every selected view. The selected order determines which configuration takes precedence where settings overlap.
You can choose whether to retain the original views. Read the removal wording: supported object views move to Trash, while some specialized page views are deleted permanently. Merging views combines their rules; it does not deduplicate or merge the underlying records.
Search across the workspace
Open Search from the sidebar or use Command-K on Mac and Control-K on Windows. Everything searches across supported records, counts, purchase orders, sales orders, views, pages, and chat. Scope buttons narrow the search to a particular kind of result.
Results show their title and, when available, the field that matched. Open a result to jump to the record or page. Recent results make it easier to return to things you have already opened; they are kept for the current workspace in your browser.
Object search stays focused on one list. Choose a Field and type the text it should contain to filter that table and see the match count. Clear the text to remove that search. Workspace search helps when you do not know which list contains the answer.
Search respects current access, including private chat membership and field restrictions. A record that is absent from search may be hidden by permissions, a disabled app, or its deletion state.
Use SQL-style queries when helpful
The SQL query editor is another way to describe supported filters, selected columns, sorting, and grouping. Running a query updates the same table rules used by the visual controls.
Matte supports a limited, read-only SELECT syntax over its object catalog. It does not execute arbitrary database SQL. Joins, subqueries, window functions, and write statements are not supported. Use the editor’s suggestions and available column names, and use the normal app actions to change data.
